2. Information we may collect

The information we collect depends on how you interact with TalentHive.

We may collect information including:

  • your name and contact details;
  • your CV and employment history;
  • qualifications, skills and experience;
  • salary expectations;
  • availability and location;
  • the type of work or opportunities you are interested in;
  • information you choose to provide during the recruitment process; and
  • communications between you and TalentHive.

Clients and prospective clients

We may collect information including:

  • your name and job title;
  • business contact details;
  • company information;
  • recruitment requirements;
  • information about roles you need help filling; and
  • communications between you and TalentHive.

We may also receive candidate information from recruitment platforms, job boards such as Indeed, referrals, professional networks and other recruitment sources.

3. Special category information

We do not intentionally request sensitive personal information unless it is genuinely necessary for a particular recruitment purpose.

If special category information is processed, it will only be used where there is an appropriate lawful basis and an additional legal condition allowing that information to be processed.

4. How we use your information

We may use personal information to:

  • respond to enquiries and communicate with you;
  • understand recruitment requirements;
  • assess candidates for suitable opportunities;
  • identify potentially suitable roles for candidates;
  • introduce suitable candidates to clients;
  • communicate with candidates about relevant opportunities;
  • provide and manage recruitment services;
  • maintain appropriate recruitment and business records;
  • manage relationships with clients and candidates;
  • improve our services and website;
  • comply with legal or regulatory obligations; and
  • establish, exercise or defend legal claims where necessary.

5. Our lawful bases for processing

UK data protection law requires us to have a lawful basis for using personal information.

Depending on the circumstances, we may rely on:

Contract

Where processing is necessary to take steps at your request or to provide agreed recruitment services.

Legitimate interests

Where processing is reasonably necessary for operating our recruitment business, communicating with candidates and clients, identifying suitable recruitment opportunities and maintaining business relationships, provided those interests do not override your rights and freedoms.

Legal obligation

Where we need to process information to comply with a legal requirement.

Consent

Where we have specifically asked for your consent for a particular use of your information. Where we rely on consent, you may withdraw it at any time.

6. Sharing your information

TalentHive Recruitment Ltd does not sell personal information.

Where necessary for recruitment purposes, relevant information may be shared with prospective employers, clients or candidates.

We may also use trusted service providers that help us operate our business, including website hosting providers, email providers, website form providers, recruitment platforms, IT providers and professional advisers.

These organisations may process information on our behalf or act as separate data controllers depending on the service they provide.

7. Candidate CVs

If you send TalentHive your CV, whether by email or another recruitment channel, we will use the information it contains to understand your experience, skills and the type of opportunities that may be suitable for you.

Sending a CV to TalentHive does not mean it will automatically be forwarded to an employer. TalentHive's approach is based on carefully considered introductions rather than sending CVs widely.

Where appropriate, we will discuss relevant opportunities and the recruitment process with you.

8. How long we keep your information

We keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected.

As a standard retention period, candidate information, including CVs and recruitment correspondence, may normally be retained for up to 24 months from our most recent meaningful contact with you. This allows TalentHive to consider candidates for suitable opportunities that may arise during that period.

At the end of the 24-month period, the information will be reviewed. It will be deleted or anonymised unless there is a clear and lawful reason to retain it for longer, such as an ongoing recruitment relationship, an active placement process, a legal obligation, or the establishment, exercise or defence of legal claims.

Information may be deleted sooner where it is no longer required or where an individual validly exercises a right to erasure.

Certain business, accounting, contractual or legal records may be retained for a different period where this is required by law or where there is another appropriate lawful reason for doing so.

9. Keeping your information secure

We take reasonable technical and organisational steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

No method of electronic transmission or storage can be guaranteed to be completely secure.

10. International transfers

Some technology providers used by TalentHive may store or process information outside the UK.

Where this happens, appropriate safeguards will be used where required by UK data protection law to help ensure that personal information receives an appropriate level of protection.

11. Your data protection rights

Depending on the circumstances, you may have rights in relation to your personal information, including the right to:

  • request access to personal information held about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete information in certain circumstances;
  • ask us to restrict how information is used;
  • object to certain uses of your information;
  • request transfer of information in certain circumstances; and
  • withdraw consent where we rely on consent.

To exercise any of these rights, contact bianca@talenthiverecruitment.co.uk .

12. Complaints

If you have concerns about how TalentHive uses your personal information, please contact us first so that we can try to resolve your concern.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator.

13. Cookies and website analytics

This website may use cookies and similar technologies that are necessary for the website to operate correctly.

Where analytics or other non-essential technologies are used, consent will be requested where required before those technologies are activated.

Further information may be provided in a separate Cookie Policy.

14. Changes to this privacy policy

We may update this privacy policy from time to time to reflect changes to our services, technology, business practices or legal requirements.

The latest version will be published on this website.
